Printing price calculator: quote any job and send it on WhatsApp

Prices checked

Short answer

Put in your shop's prices once, then for each customer type what they need: pages and copies, binding, lamination and anything else you offer. The calculator adds it up and turns it into a professional PDF quotation with your name and logo, ready to send on WhatsApp. Your prices stay saved on your phone for next time.

How do I use it?

  1. Set your prices. Change the example prices to what you charge, and add anything else you offer, such as passport photos or ID cards. Tap “Save my prices”.
  2. Fill in the customer's job. For printing and copying, type the number of pages and the number of copies. For binding, lamination and other services, type how many.
  3. Send the quote. Tap “Send quote on WhatsApp”, or copy it. Tap “Start a new job” for the next customer.

An example

A teacher wants 30 pages × 40 copies of an exam paper in black and white, and each copy spiral bound. With the example prices of GH₵0.50 a page and GH₵10 a book, that's 1,200 pages for GH₵600 plus 40 books of binding for GH₵400: GH₵1,000 in total. The quotation lists each part in a neat table with your shop's name and logo, so the customer sees exactly what they're paying for.

How should a print shop work out its prices?

Start from what each page really costs you: toner and paper, plus your share of rent, electricity or generator fuel, staff and servicing. Many small shops forget wasted copies and their own time, and end up charging too little. Our cost-per-page calculator works out the toner and paper part, and the print shop profit calculator shows whether your prices cover everything.

Then look at what nearby shops charge. Customers compare, so a price far above your neighbours loses jobs, and one far below loses money on every page. Need a price list for your wall or WhatsApp status? Use our free price list maker.

Questions people ask

Is this printing price calculator free?

Yes. It's free for any print shop or business, with no sign-up. Put in your own prices once and use it for every customer.

Where are my prices saved?

On your own phone or computer, in your browser. We don't see them. If you use a different phone, or clear your browser, you'll need to put them in again.

How do I send the quote to a customer?

Tap "Send PDF quote on WhatsApp" and choose the customer's chat: they get a proper PDF quotation with your shop's name, logo, a quote number and a table of prices. You can also download the PDF, save a Word file to edit, or send the quote as a plain text message.

How much should I charge per page for photocopying?

At least your cost per page (toner and paper) plus your share of rent, power, wages and servicing, then your profit. Check what shops near you charge too. Our cost-per-page and print shop profit calculators help you work out the cost.
