Short answer
Why schools need a different kind of copier
School printing comes in waves. For most of the term the copier handles notes, letters and forms; then exams arrive and it must produce thousands of question papers in a few days. A machine that copes with an average office will struggle, overheat or jam when it matters most.
So size the copier for exam weeks, not quiet weeks, and make sure a technician can reach you quickly if it fails.
What should a school copier have?
- A document feeder (DADF). Load a multi-page exam original and copy it, both sides, without lifting the lid for every page. This is essential for a school.
- Speed that matches your exam volume. Multiply students by pages per exam paper by subjects to estimate a peak week.
- Large paper capacity. Bigger drawers mean fewer interruptions during long runs.
- Automatic two-sided printing to halve paper use, which matters at exam scale.
- A3 support for timetables, charts and larger papers.
- High-yield toner that's easy to buy locally.
Options for different school sizes
- Smaller schools: [Canon imageRUNNER 2425i](/prices/canon/imagerunner-2425i). 25 pages a minute, A3, a 50-sheet two-sided document feeder and automatic two-sided printing. Its C-EXV 60 toner is rated at about 10,200 pages. Check you're getting the "i" version with the feeder: our 2425 vs 2425i comparison explains the difference.
- Medium schools: [Canon imageRUNNER 2930i](/prices/canon/imagerunner-2930i). 30 pages a minute, a standard 50-sheet feeder and 1,200 sheets of paper as standard, with C-EXV 67 toner rated at about 33,000 pages.
- Large schools: [Canon imageRUNNER 2945i](/prices/canon/imagerunner-2945i). 45 pages a minute and a 100-sheet feeder, on the same high-yield C-EXV 67 toner.

Servicing matters more than the price
A copier that breaks during exams costs a school far more than the money saved on a cheaper machine. Before buying, ask who services it, how quickly they respond, and whether they'll commit to that in writing. A maintenance contract that covers scheduled servicing before each exam period is often worth it. Our guide to service contracts lists what to ask for.
Protect the machine with a stabiliser or UPS, keep paper dry, and use good toner: cheap toner is a common cause of streaky exam papers. See how to check toner is original.
Buying for a school: get written quotes
Schools often need approvals, so get two or three written quotes that list exactly what's included: feeder, stand or cabinet, starter toner, installation, training for staff, warranty and servicing. Compare the total cost over several years, including toner for your expected volume; our buy vs lease calculator helps. You can also ask us for three quotes from vetted vendors.
Questions people ask
What is the best photocopier for a school in Ghana?
An A3 black and white copier with a two-sided document feeder, automatic two-sided printing, large paper capacity and a reliable local service partner. Size it for exam weeks. A smaller school might choose a 25-page-a-minute machine like the Canon iR 2425i; larger schools need faster models like the Canon iR 2945i.
How much is a photocopier for a school in Ghana?
New A3 office copiers were listed at GH₵11,475 to GH₵59,000 in Ghana in October 2026. The Canon imageRUNNER 2425i, a common choice for smaller schools, was listed at GH₵16,000 to GH₵29,800.
Should a school buy or lease a photocopier?
Leasing can suit schools that want fixed monthly costs with servicing included and no large upfront payment. Buying usually costs less over the machine's life if the school can pay upfront and arranges reliable servicing. Compare both with real quotes.
Does a school photocopier need a document feeder?
Yes. A two-sided document feeder lets staff copy multi-page exam originals in one go instead of one page at a time, which saves hours during exam periods.
